We are seeking a detail oriented and reliable Finance / Operations Manager to support our growing team. This role is focused on QuickBooks management, client/vendor onboarding, and financial operations, with long term growth into broader operational responsibilities.
Requirements:
Fluent in English and Spanish
Available during EST business hours
Located in Latin America
Bachelor’s degree in Accounting, Finance, Business Administration, or a related field
Key Responsibilities:
Manage QuickBooks bookkeeping, including accounts payable and receivable
Create and send client invoices through QuickBooks, ACH, wire, or credit card
Monitor receivables and follow up on overdue invoices
Process vendor and contractor payments through QuickBooks Bill Pay
Reconcile transactions and maintain accurate financial records
Handle client onboarding
Collect W9s and required documentation
Set up ACH/payment details
Maintain onboarding records
Gather sales tax certificates when required
Manage vendor and contractor onboarding
Collect W9/SSN and payment details
Track 1099 eligibility
Set up vendors in QuickBooks
Support sales tax tracking and remittance
Perform operational data entry, such as tracking client counts and generating reports
Assist with additional operational tasks as the role expands
Qualifications:
Experience with QuickBooks, including invoicing, bill pay, and vendor/client setup
Strong data entry and organizational skills
Basic email and phone communication skills
Ability to problem solve and manage tasks independently
Experience with contractor payments and 1099 tracking preferred
